Supply Chain Optics, located in Irvine, CA, serves high-tech manufacturers with high-performance optical components. We are looking for a highly-organized, detail-oriented individual for our Admin Assistant – AP & AR assistant & HR assistant position. The position is available immediately.

Responsibilities
_ AR
• Submit daily invoices to the customer.
• Monthly AR statement sends to customer.
• Monitor & communicate with Order process status of credit memo and replacement invoice.
• Tracking incoming payments
• Recording and reconciling all incoming financial transactions received
• Resolving outstanding payments and sending collection statements
• Bank deposit as needed.
• Updating account information and records of clients
• Assisting with audits and checking for discrepancies in financial accounts
_ AP
• Receiving bills in QB relates to all payment.
• Monitor & record our vendor’s invoice for each shipment in QB.
• Daily, weekly, and monthly arranged payments.
• Monitor & Record Prepayment in the database.
• Monitor & Record Credit memos with Open Bills.
• Updating account information and records of the Vendor
• Assisting with audits and checking for discrepancies in financial accounts.

- Must communicate clearly and effectively with their supervisor the details of all areas of their responsibility
- They will alert their supervisor in a timely manner to any discrepancies, errors, or issues that they may discover
- Responsible for tracking and maintaining direct knowledge of the day-to-day activities for which they are responsible

Requirements
Knowledge, skills & abilities, Qualifications
• Excellent time management, analytical and organizational skills; strong attention to detail
• Strong team player who collaborates well with others to solve problems, flexible and adaptable
• Good interpersonal skills and communication with all levels of management
• Excellent arithmetic skill and customer service skills
• Relationship builder with effective oral and written communication
• Previous experience using QuickBooks Preferred
• Knowledge of Microsoft Office – Excel, Outlook
• Must be eligible for work in the US.
Compensation & Benefits
• Full-time hourly position, Hours M-F, 9:00 am to 6:00 pm, no overtime
• Holiday Pay, Sick, and Vacation accrual per employee handbook policies
• Pay commensurate with experience.

Job Type: Full-time
Salary: $22 to $25+ per hour depending on experience
