Job Description:
We are seeking a versatile individual to join our team in a small office environment, taking on the responsibilities of Finance, HR, and Office Administration. As the Finance, HR, and Office Administrator, you will be responsible for handling various tasks across these three functions, ensuring smooth operations and supporting the overall functioning of our organization. In this role, you will be required to multitask and manage multiple responsibilities due to the small size of our company. While the workload and complexity may be low for each function individually, attention to detail, efficient time management, and the ability to handle tasks promptly are crucial. Strong numerical aptitude, attention to detail, proficiency in English and Korean languages, and the ability to perform well under pressure are required. Candidates with a background in business, finance, HR, or office administration and at least 2 years of experience in finance are preferred.
Job Responsibilities:
Finance:
- Handle financial transactions, accounts payable and receivable, invoicing, and reconciliations.
- Input journal entries into the accounting ERP system to record financial transactions and maintain an accurate general ledger.
- Assist in the preparation of financial statements, reports, and US statutory reports.
- Maintain accurate financial records, documentation, and US tax records.
- Prepare and submit US tax filings, ensuring compliance with tax regulations.
- Manage banking relationships, resolve issues, and optimize banking services.
- Facilitate timely and accurate bank fund transfers and payment processing.
- Prepare and maintain a detailed cash journal to track cash inflows and outflows.
- Collaborate with internal stakeholders to gather financial information for decision-making.
- Implement and improve financial controls and procedures.
- Liaise with internal teams and external parties to address financial inquiries and ensure compliance with policies and procedures.
- Perform ad-hoc duties related to finance and accounting functions.
HR:
- Collaborating with external payroll service providers and tax advisors to ensure accurate payroll processing and tax compliance
- Managing payroll processes, including calculating employee wages, processing payroll deductions, and ensuring accurate and timely payment to employees.
- Managing employer tax return processes, including preparing and filing tax returns and ensuring compliance with tax regulations and reporting requirements.
- Maintaining accurate employee records, including personal information, employment contracts, and performance-related documents, while ensuring compliance with HR policies and regulations.
- Administering employee benefits programs, such as health insurance and leave management.
- Managing the recruitment and onboarding process, including job postings, screening resumes, conducting interviews, and facilitating new employee orientation.
- Providing HR support and guidance to employees regarding HR policies, procedures, and employment-related inquiries.
- Staying updated on HR best practices, employment laws, and regulations to ensure compliance and recommend improvements to HR processes and policies.
Office Administration:
- Managing office supplies, inventory, and procurement to ensure adequate stock levels and efficient operations.
- Managing fixed assets of the office, including tracking, maintenance, and disposal, to ensure proper asset management.
- Implementing and maintaining office policies and procedures to ensure compliance with regulations and promote a productive work environment.
- Coordinating office maintenance and repairs, liaising with service providers and ensuring a safe and functional working environment.
- Handling correspondence, including emails, letters, and phone calls, and maintaining effective communication channels within the organization.
- Acting as a company secretary, assisting with corporate governance matters, board meetings, and maintaining corporate records and documentation.
Qualifications:
- Bachelor's degree in business, finance, HR, office administration, or a related field.
- Minimum of 2 years of experience in finance, or a related role.
- Proficiency in both English and Korean languages for effective communication.
- Strong numerical aptitude, attention to detail, and accuracy in financial and administrative tasks.
- Ability to multitask, prioritize, and manage time efficiently in a fast-paced environment.
- Proficiency in relevant software and tools (e.g., MS Office, accounting software(Douzone)).
- Knowledge of finance, HR, and office administration principles and best practices.
- Strong organizational, problem-solving, and communication skills.
- Ability to work independently with minimal supervision and as part of a team
