Key Responsibilities
• Provider outreach: research local prescribers, clinics, med spas, and veterinary offices; build and maintain a provider database; send approved intro emails, make calls, prepare packets, and coordinate visits or lunch-and-learns.
• Operations & admin: support pre-opening tasks, vendor setup, licenses, permits, deadlines, and checklists; maintain organized folders, trackers, SOP materials, and forms; collect quotes, track orders, and organize invoices and contracts.
• Front desk & patient experience: greet patients, answer and triage phones, receive Rx drop-offs, schedule consultations, run POS pickups, and merchandise the retail floor at a concierge level.
• Bookkeeping & marketing: send weekly receipt packets to the bookkeeper, process vendor invoices, track gift-program spending, support approved marketing and Google Business updates, and prepare a weekly progress report.
Ideal Candidate & Qualifications
• Exceptionally detail-oriented, process-driven, and strong at follow-up; professional on the phone, by email, and in person; able to work independently and maintain discretion.
• Required: prior admin, healthcare, pharmacy, medical office, sales support, or customer service experience; strong communication; comfort with Google Sheets/Drive, Excel, Gmail, and basic CRM tracking; ability to manage deadlines and confidentiality.
• Preferred: pharmacy, med spa, or wellness clinic experience; HIPAA familiarity; referral coordination or business development; bilingual in Korean, Vietnamese, Spanish, Mandarin, or Cantonese (strong English required).
